How to publish a church volunteer signup sheet that syncs with Planning Center

Don’t assign volunteers. Let them sign up. Connect Planning Center, publish a public sheet, share one link, and write names into the plan you already use.

This walkthrough is for churches that already run Planning Center and want a public volunteer signup sheet for a team. Planning Center Services holds the team, the positions, and the plan. Church Center remains home for your people. MinistryOps is the public door: a tokenized sheet that writes into that plan.

The same steps work for worship, welcome, greeters, ushers, hospitality, parking, production, AV, nursery, VBS, and any other ministry with a team in Planning Center. This is not a kids-only flow. Publish one sheet per team.

You will connect with OAuth, pick the team and plan, publish a public link, share it, and let volunteers pick slots they already hold. Signups write into Planning Center. Your usual Planning Center reminders still apply. MinistryOps does not replace reminders, Services, or Church Center. It is complementary: a shareable sheet in front of the plan you already run.

How to publish the sheet

Follow these steps once per team. Repeat for every ministry that needs its own link.

1. Connect Planning Center

Sign in at ministryops.app and connect Planning Center with OAuth. That connection is how MinistryOps sees the teams and plans you already keep in Services. You are not importing a second database of people. You are opening a door into the PCO account the church already trusts.

2. Pick the team and plan

Choose the Planning Center team that should have a sheet, then the plan you want people to sign up for. A welcome team, a production team, and a VBS team each get their own sheet. Positions on the sheet are the positions those people already hold.

3. Publish a public link

Publish a tokenized public sheet for that team. The link is shareable. Team members will pick slots they already hold. Leaders will be able to see fill-rate and which slots are still open after people sign up.

4. Share the link

Put the link where volunteers will actually see it:

  • Bulletin or weekend handout

  • QR code in the lobby, green room, or volunteer area

  • Email to the team

  • Text or group chat

One link is enough. You do not need to walk each person through Services for the signup itself.

5. Volunteers pick slots

Volunteers open the sheet and pick a slot they can keep. They choose from positions they already hold on the team. That is the “don’t assign, let them sign up” moment: a greeter picks a door, a production volunteer picks a seat, a welcome-team member picks an hour.

People who are not on the team can submit an interest request so a leader can follow up in Planning Center.

6. The plan updates in Planning Center

Each signup writes into the Planning Center plan. The roster people agreed to and the roster in Services stay together. Planning Center reminders still go out. Church Center does not change. MinistryOps does not become the system of record. It is the public sheet that filled the plan.

After you publish

Leaders can see fill-rate and open slots without rebuilding a spreadsheet. If another ministry needs a sheet, repeat the same six steps for that team. Worship, parking, hospitality, ushers, AV, nursery, and VBS can sit side by side, each with its own tokenized link.
